Frequently Asked Questions
What qualifies as a member?
For pricing purposes we define members as those who hold an active membership plan within Clubmate. We do not include prospective, cancelled or expired memberships.
What is a Clubmate transaction fee?
This is a % fee that we charge in addition to the payment providers fee. It is deducted before the funds are settled in to your account.
Is it possible to try before we buy?
Yes you can. Clubmate is available to try free of charge for 14 days.
Is training & support included in the Standard plan?
Yes it does. Clubmate is designed to be a self-service solution however we are here to offer support too. You will also receive some initial 1-2-1 remote training to ensure you are making the most out of Clubmate. If ongoing management of the platform is a concern, you could always switch to our Managed plan and we'll do the bulk of the work for you.
Do the fees include VAT?
Yes. All fees include any Tax payable.
What details can be added to the Membership card?
All cards can be personalised with: Club name, Member name, Member number, Expiry date, Membership package & Gate PIN (if applicable). If you choose the All-in package, you can also customise the card with a design of your choice - adding a club logo, colour schemes, images etc.
How do I sign up?

Is there a fixed contract?
No. We do not tie any of our clients into contracts. We hope you’ll stay with us because we bring value to your club not because a legal document says so.
Is there a minimum number of members?
The platform does not require a minimum number of members however there is a minimum charge equivalent to 100 active memberships.
Do you offer any volume discounts?
We believe in providing affordable access to Clubmate for all clubs, irrespective of their size. For this to be possible (and to keep things fair) we are unable to offer any volume discounts.
I have existing data, do you charge to upload it?
No absolutely not. We expect most clients to have existing member data and will do everything we can to help upload it.
What’s the differences between the Standard & Managed package?
With the Standard package, you will receive full training on getting set up and using Clubmate and then it's over to you to maintain. With the Managed package, we will get you set up, add all of your membership plans, add relevant tickets & permits and ensure you're ready to go from day one. We will also keep your membership plans updated as per any annual changes.
